New Immigrant Community Empowerment (NICE) is a community-based, nonprofit organization dedicated to empowering immigrant workers by organizing their individual and collective social, economic, and political power to seek justice in life and at work. Our approach combines a robust workforce development program, including training & certifications, political education on worker rights & job search and placement, and holistic wraparound critical supportive services for new immigrants. Founded in 1999, NICE serves over 15,000 immigrant workers annually, including recent immigrants. From construction workers, day laborers, restaurant workers, and cleaning and hospitality workers, NICE organizes the future workforce - whether they have been New Yorkers for 20+ years or are just arriving at NICE. 

In recent months, NICE has developed a unique life and workforce development program for immigrant workers: NICE’s Pre-Apprenticeship for Life & Work (APLW). This program weaves together the foundational elements for integration by building immigrant workers’ personal and professional skills to thrive while contributing to NYC. 

POSITION SUMMARY 

NICE seeks a highly motivated, full-time Bookkeeper to join our dedicated NICE Central Division. This position is an exciting opportunity for a detail-oriented individual passionate about maintaining financial integrity and ensuring smooth financial operations in a mission-driven environment. The Bookkeeper will manage NICE’s financial records, assist as payroll backup, and ensure compliance with local and federal regulations. The ideal candidate will work closely with the Senior Financial Officer and NICE Central Division staff to support effective resource allocation and contribute to the financial sustainability of NICE’s programs serving immigrant workers across various industries.

DUTIES & RESPONSIBILITIES


Account Payable & Receivable 

  • Maintain financial transaction records by establishing accounts, posting transactions, and ensuring legal compliance.
  • Manage accounts payable and receivable, ensuring timely payments and collections.
  • Prepare regular monthly reconciliation of bank, credit card, and other accounts.
  • Ensure all transactions comply with federal, state, and local tax filings, including payroll. 
  • Monitor and reconcile donors' records of donations and manage donor acknowledgments in collaboration with the Development Division’s staff.
  • Assist with financial audits, including preparing necessary documentation and reports.
  • Maintain and organize financial filing systems for easy access and audit readiness.
  • Track program-specific expenses and ensure proper allocation of funds.
  • Handle and resolve discrepancies related to financial transactions and accounts.
  • Review and recommend improvements to accounting processes and procedures.
  • Maintain confidentiality of all financial and payroll information.
  • Assist with creating budgets, financial forecasts, and quarterly reports. 
  • Assist in budget preparation and monitor actual expenses against the budget.
  • Assist in preparing organizational invoices for services rendered and follow-up on outstanding balances.

Vendor Management

  • Develop vendor profiles and make sure to keep updated vendor information on file. 
  • Verify approval, math, and appropriateness of all vendor invoices.
  • Manage vendor relationships and ensure timely payment of bills.
  • Process and issue 1099s for vendors and independent contractors at year-end.

Payroll Backup 

  • Assist in processing employee payroll and ensuring compliance with tax and labor regulations.

Data & Reporting 

  • Gather and compile data from NICE members following legal, contractual, ethical, and organizational standards. 
  • Ensure accurate entry and maintenance of reliable physical and electronic files and detailed case notes in compliance with legal, contractual, ethical, and organizational standards and requirements.

Other Responsibilities

  • This role will collaborate with other divisions to advance the organization's vision, mission goals, and objectives. 
  • Ensure the confidentiality and privacy of all government agencies, vendors, and institutions that do business with NICE in compliance with legal, contractual, ethical, and organizational standards and requirements. 
  • Maintain appropriate and professional boundaries/relationships with vendors and other officials.
  • Attend professional training in your related field periodically to stay abreast of current professional trends in your field and the positions you hold. 
  • Assist with organizational activities as needed. 
  • Other responsibilities may be assigned and required to be performed by the emerging needs of the division and participants.

QUALIFICATIONS

  • Degree in Accounting, Finance, or related field (Bachelor’s preferred, Associate degree considered with relevant experience).
  • Certified Bookkeeper (CB) or Certified Nonprofit Accounting Professional (CNAP) credentials would be a plus.
  • Familiarity with GAAP (Generally Accepted Accounting Principles) for proper record-keeping.
  • 2-5 years of bookkeeping experience in a nonprofit or similar environment, managing accounts payable/receivable, payroll, and financial reporting.
  • Experience with nonprofit accounting practices preferred.
  • Proficiency in accounting software like QuickBooks, Bill.com, or similar is preferred.
  • Familiarity with payroll software and processing (e.g., ADP, Trinet, Paychex).
  • Computer literacy, with proficiency in Microsoft Office applications or Google Workspace, is required.
  • Knowledge of Salesforce and other related platforms is preferred.
  • Strong Excel skills, including creating spreadsheets, using formulas, and generating reports.
  • Knowledge of tax regulations, including nonprofit tax filing requirements and payroll taxes.
  • Experience with financial audits, both internal and external.
  • Ability to maintain accurate financial records and reconcile accounts.
  • Strong attention to detail and accuracy in managing financial transactions and records.
  • Ability to work independently and juggle multiple responsibilities in an active and high-volume environment, excellent time management, and administrative skills.
  • Excellent research and writing skills and ability to communicate with a diverse audience.
  • Experience working with immigrant communities, especially immigrants who identify as LGBTQIA+, survivors of violence, and dealing with trauma.
  • Exceptional interpersonal, communication, and customer service skills, with the ability to manage relationships at all levels.
  • Bilingual: strong English and Spanish (strong written and verbal communication skills in both languages) preferred.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

COMPENSATION & BENEFITS

Schedule: Monday-Friday 9AM to 5PM, may require you to work evenings and weekends.

Classification: 

  • Exempt 

  • Yearly salary compensation - $60,000 to $65,000
